Debt Collection System For Companies In INDIA

Debtics is cloud-based debt collection software built for businesses chasing their own unpaid invoices, not for lenders chasing loan books. Manufacturers, traders, distributors and service companies across Mumbai, Delhi, Bengaluru, Chennai and Hyderabad use it to centralise receivables, automate follow-ups on WhatsApp, SMS, email, IVR and push, and track every promise to pay through to payment.

Time-consuming manual collections
The conventional debt collection process in India is too time consuming. Debtics gives businesses a centralized platform to track and manage receivables by automating the follow-up side of debt recovery.
Overdue accounts hurt cash flow
Consistent automated reminders make sure bills don’t slip, nudging debtors to settle while your team keeps track of who owes what and when it’s due.
Scattered customer information
Debtics centralizes customer information and communication with debtors, so businesses in India identify delinquent accounts early and take prompt action to protect working capital.
HOW IT WORKS

From first import to recovered payment, in four steps.

1
Onboard your receivables
Bulk CSV import with column mapping, validation, duplicate detection and batch history, or inbound ERP sync with Oracle, Odoo, Zoho, Sage and Epicor. Debtics reads your invoice and customer data and never writes back.
2
Auto-segment & score accounts
Accounts classify into Soft Touch, Warm Chase, Firm Action, Legal Track and Write-Off by outstanding balance and days past due, each with a weighted recovery-likelihood score that prioritises the collection queue.
3
Automated follow-up cycles
The 5x5x5 engine runs five touchpoints across five business days at five times of day on WhatsApp, email, SMS, IVR and push, repeating weekly until the debtor responds.
4
Promises, escalations and legal track
Record promises to pay against specific receivables with an amount and a date, auto-flag broken promises, raise escalations, or move the account to Legal Track with a case timeline and lawyer notes.
THE PLATFORM

Everything a collection team runs on, in one system.

Debtor 360
Every account in one drawer, overview, contact history, promises-to-pay, portal messages, documents and notes. Agents act with full context, never from memory.
Smart segmentation & scoring
Accounts auto-classify into Soft Touch, Warm Chase, Firm Action, Legal Track and Write-Off by balance and days-past-due, with a weighted recovery-likelihood score.
5×5×5 automation engine
Five touchpoints across five business days at five times of day, repeating weekly until the debtor responds. Business days only; quiet hours and contact caps enforced.
Promise-to-Pay tracking
Record promises from any call or message. Broken promises auto-flag the day they lapse, and payments reconcile against the exact promise they fulfil.
Legal recovery track
Refer accounts to legal with case number and court. Cases flow Pre-Legal → Submitted → Judgment → Written-Off with a case timeline, an assigned handler and lawyer notes.
Defaulter self-service portal
Debtors view statements, message your team and raise disputes themselves. Objections pause outreach and notify your queue instantly.

FAQ

Common questions about debt collection software in India.

Is Debtics for lenders or for businesses chasing unpaid invoices?
Debtics is for businesses collecting their own trade receivables. Most collection platforms sold in India are built for banks, NBFCs and digital lenders, and are organised around loan accounts, EMIs and portfolios. Debtics is organised around invoices, customers and days past due, so a manufacturer, distributor or services firm gets a system that matches how it actually bills and gets paid.
We run Tally. How do we get our data into Debtics?
Through bulk CSV import or the REST API. Debtics has direct integrations for Oracle, Odoo, Zoho, Sage and Epicor, and Tally is not among them today. Tally users export outstanding invoices to CSV and load them through the importer, which handles column mapping, validation, duplicate detection and batch history. The connection is inbound only, so Debtics never writes back into your books.
Does Debtics connect with Zoho?
Yes. Zoho is one of the five direct integrations alongside Oracle, Odoo, Sage and Epicor, which matters in India where Zoho is widely used. Debtics reads your customer and invoice data so accounts and balances stay current without rekeying. The sync is inbound only. Debtics reads from Zoho and does not push changes back into it.
Can we manage receivables across several Indian cities from one system?
Yes. Debtics holds your whole book in one cloud workspace, with roles for Platform Admin, Recovery Manager, Team Leader and Recovery Agent so each regional team works its own accounts. A company with branches in Mumbai, Delhi, Bengaluru, Chennai and Hyderabad gets per-team queues and one consolidated set of dashboard KPIs, instead of five spreadsheets reconciled at month end.
Which types of Indian businesses use Debtics?
Any business carrying trade receivables on credit terms. It fits manufacturing, textiles and apparel, chemicals, agri and food, pharma and FMCG distribution, logistics and professional services, which are the sectors where Indian B2B invoices most often run past due. Accounts segment by outstanding balance and days past due, so the workflow adapts to whatever your terms and ticket sizes look like.
Where is our data hosted if we use Debtics from India?
Debtics data is hosted in the UAE and GCC region, not in India. Each client runs in an isolated workspace on a multi-tenant platform with role-based access and audit logging. If your procurement or IT policy requires in-country hosting, raise it with our team before you start the trial so you can assess it against your own requirements.
Can our recovery agents work from Debtics day to day?
Yes. Debtics is cloud-based, so agents sign in through a browser on a laptop or phone with nothing to install. Each agent sees an assigned queue ranked by recovery likelihood, logs calls and follow-ups, records promises to pay with an amount and date, and raises escalations. Broken promises are flagged automatically, so nothing depends on an agent remembering to check back.
How do we stop our customers being over-contacted?
Debtics has editable contact caps per day and week, configurable quiet hours, per-channel weekly limits, and an audit log on every touch. You set the limits once and they apply across WhatsApp, SMS, email, IVR and push. This matters in India where the same customer may be reachable on several channels at once and repeated contact damages a commercial relationship you want to keep.

Debt collection software for Indian businesses, not just lenders

Almost every collections platform marketed in India is built for lending. The workflows assume loan accounts, EMI schedules, bureau data and portfolio buckets, which is the wrong shape for a company chasing unpaid invoices from its own customers. Debtics starts from the invoice instead. Accounts carry outstanding balances, days past due and a payment history, then sort into Soft Touch, Warm Chase, Firm Action, Legal Track and Write-Off, with a weighted recovery-likelihood score ranking the queue. Promises to pay are recorded against a specific receivable with an amount and a date, payments reconcile against that promise, and broken promises are flagged automatically. For an Indian manufacturer, distributor or services business, that is the difference between software that fits and software that has to be worked around.

Working with the accounting systems Indian businesses already run

Indian finance teams rarely start from a blank slate. Most already run Tally, Zoho, BUSY or a larger ERP, and any collections tool has to fit around that rather than replace it. Debtics integrates directly with Zoho, Oracle, Odoo, Sage and Epicor, and everything else comes in through bulk CSV import or the REST API. The CSV importer maps your columns, validates rows, detects duplicates and keeps a batch history, so a Tally export loads cleanly and repeatably. Every sync is inbound only, meaning Debtics reads your invoice and customer data and never writes back into your accounting system, so your books stay the single source of truth. Reporting goes the other way as CSV in UTF-8 with BOM, across eight reports plus dashboard KPIs.
