Frequently asked questions

Everything teams ask us about Debtics, setup, plans, payments, support and how SMEs, corporates and collection agencies recover debt with our platform.

Are there any setup fees for Debtics?
No. There is no setup fee. You pay the flat monthly subscription for your plan and nothing else to open the workspace. Onboarding, where our team handles configuration and trains your collectors, is a separate optional service rather than a mandatory charge. Message costs for SMS, WhatsApp and IVR are billed at operator cost and shown separately from the subscription.
Can I change my plan later?
Yes, at any time. Moving up a plan applies immediately so your team gets the extra channels, reports and seats the same day. Moving down takes effect at your next renewal, so you keep what you have already paid for. Your debtor records, contact history, promises to pay and reports are unaffected by a plan change.
What happens if I exceed my user limit?
You cannot exceed it by accident. Debtics enforces the seat count on your plan, so adding a collector beyond the limit is blocked rather than silently billed to you. Upgrade whenever you need more seats and the new user is active straight away. Running sequences, open promises and escalations continue uninterrupted while the change applies.
Do you offer help to use this?
Yes. Optional onboarding covers workspace setup, importing your receivables ledger, mapping your columns, building your message templates and configuring segments, quiet hours and contact caps. It also includes training for your collectors and managers on the queue, promise-to-pay tracking and the reports. Teams that prefer to self-serve can do the same steps from the product without onboarding.
What is Standard Support?
Standard support is included for every Debtics subscriber at no extra cost and is delivered over email. You can raise questions about configuration, imports, message templates, compliance settings or reporting. It covers the product itself rather than your collection strategy. Hands-on configuration and training for your team is handled by the separate onboarding service.
What is the best way to recover debt in SME?
The most effective approach for an SME is to stop chasing manually and let a system do it. Debtics imports your outstanding invoices, segments accounts by balance and days past due, then runs automated follow-ups over SMS, email, WhatsApp, IVR and push until the debtor responds. Promises to pay are tracked and broken promises are flagged automatically, so a small team covers a whole ledger.
What is the role of best collection agency software in finance industry?
Collection software gives finance teams one workspace for every overdue account, replacing spreadsheets and shared inboxes. Debtics provides a prioritised collection queue, a weighted recovery-likelihood score, promise-to-pay tracking, a legal recovery track, and eight chart-driven reports with CSV export. Contact caps, quiet hours and an audit log govern every message sent.
How do we get collections of credit in media industry?
Media receivables are usually credit extended against airtime, print space or campaign delivery, often billed through an agency rather than the advertiser, on long payment cycles. Debtics holds each campaign invoice against the account that owes it, chases the named billing contact across five channels, and records disputes over delivered spots or impressions so a query on one line does not stall the rest of the balance.
Will I get invoice for my subscription?
Yes. A tax invoice is issued for every subscription payment, including the TRN details your finance team needs for input tax recovery in the UAE. It is emailed to the address used when the workspace was created, and it is also available to download from your account at any time. Message spend is itemised separately from the subscription line.
What forms of payment do you accept?
Domestic and international credit and debit cards are accepted, alongside net banking, UPI and EMI options where they are available in your market. Subscriptions are billed monthly by default, and annual billing can be arranged on request. Every payment produces a tax invoice automatically, so nothing needs to be requested from us to close your books.
How Corporates can recover their debts?
A corporate recovers by working the whole ledger on one defined process rather than account by account. In Debtics every overdue invoice enters a prioritised queue, sorts into Soft Touch, Warm Chase, Firm Action, Legal Track or Write-Off, and runs a 5x5x5 cadence of five touchpoints across five business days. Accounts that stop responding escalate automatically, then move into the legal track with a case timeline and lawyer notes.
How SME and Corporates do invoice recovery?
The engine is the same but the shape of the team differs. An SME typically runs one or two people who let automation carry the volume, so the queue and templates do most of the chasing. A corporate splits the book across Recovery Managers, Team Leaders and Recovery Agents, with auto-assignment, per-agent workload caps and the Agent Productivity report giving management a view across the whole function.
How do you collect business debt?
Business debt differs from consumer debt because the payer is an organisation, so the right contact matters more than the volume of contact. Debtics keeps the billing contact, the purchase order or LPO reference and the invoice history on one debtor file, reconciles part payments against the specific invoice they settle, and logs disputes and objections raised through the defaulter portal so a contested line is resolved rather than chased blindly.
How invoice recovery is managed by corporates?
Management is a governance question as much as a collections one. Debtics gives each role its own scope through Platform Admin, Recovery Manager, Team Leader and Recovery Agent permissions, writes every message and key action to an audit log, and enforces contact caps and quiet hours in line with UAE Central Bank and consumer protection guidance. Recovery rate and aging buckets from 0 to 30 up to 180 plus days report back to finance.
What system do collection agencies use?
An agency needs to keep client portfolios apart while running one operation. Debtics is multi-tenant with an isolated workspace per client, so records never cross between them. Agents work a single prioritised queue, contact caps and quiet hours are configured per portfolio, and the Agent Productivity and Recovery Performance reports show output by collector and by client. Any report exports to CSV for client reporting.
